As part of their school placements, students are curating their School Planning Folders which they will share with you via UHI OneDrive.
They will share their folder using your official UHI or school email address.
In this guide, you will find information about how to access the folder shared with you by students.
About using this resource
How to navigate the resource:
- Use the menu on the left-hand side to jump to a particular page (1), or
- Use the arrows in the top right-hand side corner of the resource to navigate to the next page within the resource (2).
How to print the resource:
- Use the print button in the top right-hand side corner of the resource to print the resource as a PDF (3).

Where students have shared their School Planning Folders with a member of staff employed by UHI, students will have used that staff member's official UHI email address.
To access the shared School Planning Folder, start by logging into your emails.
Once you are logged in, locate the email by the student that says "Student name has shared the folder "Folder name" with you" and open it.
Once you have opened the email you will see a message stating who shared the folder and what the folder is called.
At the bottom of the message, you will also see a blue Open button.
Click on that button to access the UHI OneDrive folder shared with you by the student (Figure 1).

You will now be able to browse the content of the student's School Planning Folder (Figure 2).

Where students have shared their School Planning Folders with a teacher at the school, students will have used that teacher's official school email address.
To access the shared School Planning Folder, start by logging into your email account.
Once you are logged in, locate the email by the student that says "Student name has shared the folder "Folder name" with you" and open it.
Once you have opened the email you will see a message stating who shared the folder and what the folder is called.
At the bottom of the message, you will also see a blue Open button.
Click on that button to access the UHI OneDrive folder shared with you by the student (Figure 1).

This will open a tab in your browser. As you are trying to access the student's UHI OneDrive folder from outside the university, you will need to request a verification code to be able to access the student's School Planning Folder. To do so, click on the blue Send Code button (Figure 2).

Go back to your email inbox and locate the code which will have arrived in an email looking like the one in Figure 3.

Once you have located the email with the verification code, go back to the browser and either type the code into the box provided or copy-paste it in.
When you have entered the code, click on the blue Verify button (Figure 4).

You will now be able to browse the content of the student's School Planning Folder (Figure 5).

Troubleshooting - What to do if external sharing does not work
Step 1:
Please ask the student to double-check that there is no typo in the email address that they have entered.
So please ask students to double-check that they are using the correct email address.
Step 2:
If they have double-checked the email address and they are still not able to share the folder, ask them to raise a Unidesk ticket.
- The easiest way to do this is by sending an email to servicedesk@uhi.ac.uk.

Remind them to use the following as the subject for their email:
Can't share DSPF with external school supporter - In the body of their email they should also provide a brief description of the issue and, where possible, the wording of the error message they see when they try to share the folder.
